eBECAS Version 7220

    released 8 Nov 2007

This is a major release with some significant new options:

    1. Price Books - Provides for the specification of a stepped weekly rate, for the course. Courses can have more than one prise book associated with a course. Price books can be used to specify prices for country groups, so that different countries can share a price book. Price books will provide a way to reduce the listing of different course costs, and de-clutter course selection.

    2. Homestay search options - We have enhanced the search options to include a period search. The options include starting, current and finishing in period. Homestay search also includes the option to display Homestay by period tentative (offers), waiting placement, placed and cancelled.

    3. Offer discounts transferred to Enrolments - Line items in offers have the facility to specify a discount. You now have the option to enable the transfer the discount into the enrolment when the offer is accepted as a credit - discount.

    1. Price Books

Setup - Go to Main - Utilities - Price Books

The Price Book search screen is displayed:

Press New then enter the name of the Price Book, then press Save:

Go to the Rates tab, and this screen is displayed:

Press New to enter the price breaks:

This specifies that under the General English Price Book, for course from 1 to 9 weeks, the rate used is $310

This specifies that under the General English Price Book, for courses from 10 to 19 weeks, the rate used is $300

This specifies that under the General English Price Book, for courses from 20 to 50 weeks, the rate used is $290

The Price Book now looks like this:

You can now save time by specifying the courses that this price book is available to use, press the Courses tab:

To specify the courses, Press New, the course search screen is displayed, where you can highlight and then select one or more courses.

** Hint because this will replace many separate previous Courses, I would encourage Colleges to make all except one Course active, for example if you previously had separate entries for General English 1-9 weeks at $310, and General English 10-19 weeks at $300 etc, this new Price Book does not need multiple courses to be listed in future. I would encourage you to make all General English courses listed with separate prices except one in-active, then change the name of one for example from General English 1-9 weeks to General English (for both Display which is what is seen to select the option and Course name which is used in a report)

You may also have the prices for General English that have the same prices / rate as the prices for English for Academic Purposes, then you could again use the same Price Book.

    After pressing select displays:

We have designed this so that more than one price book can be entered and listed. This enables another price book with special prices to be added for Latin American Countries for example. Note this does not automatically get selected for the country, but when the offer is entered, and the course selected the Price Books entered for the course will be displayed for you to select.

If you go to the menu Main - Utilities - Course you will see that the course has the Price Book displayed too:

under the new Price Book is tab for the course is displayed:

When entering a new offer for a course, you have the option to select a price book:

The weekly rate is applied for the selected weeks:

    2. Homestay search options:

We have provided new Homestay search options:

The Date options are: Starting, Current and Finishing.

The Status options are: Tentative (Offers), Waiting Placement, Placed and Cancelled.

    3. Offers Discount transferred to Enrolments:

From the menu Main - Utilities - Setup Configuration you will see the option to Convert Offer discounts to Enrolment, enable this if you wish to identify discounts in Enrolment invoices:

Offer items now have the option to enter a percentage discount for the fee:

The offer then may look like this:

When the offer is accepted, the fee details will now look like this:

With the credit entered as a discount.
